Job Title: Executive Assistant to the CEO
Job Summary: Responsible for providing diverse and high level administrative support to the CEO. The Executive Assistant to the CEO will also support other executive managers as requested and as available. The overall goal of this position is to provide professional, exceptional customer service and administrative support, ensuring the efficient operation of the CEO s office.
Essential Duties and Responsibilities:
The Executive Assistant will be primarily involved with performing the following duties and responsibilities:
Use discretion and independent judgment and professional skills to perform daily duties and to resolve issues.
Provide support for CEO initiatives, complete special projects as assigned, and act as CEO s liaison as appropriate.
Carry out daily responsibilities within the framework of Alston Construction s overall policies, procedures and plans.
Take effective action to proactively solve difficult or complex issues.
Prepare a wide variety of written materials (presentations, correspondence, reports,
Arrange and manage complex and detailed travel arrangements.
Research, gather and analyze information as necessary to complete assigned projects and duties.
Effectively prioritize requests and incoming information, ensuring appropriate level of urgency is assessed and given to each.
Supervise office administrative staff, including coordination of workload.
Organize and handle logistics for management meetings and prepare agendas, materials, and meeting minutes.
Advise CEO of circumstances and issues that affect the company.
Supervise Office Administrator.
As available, provide administrative support to other corporate executives.
This position will also require performance of the following duties:
Serve as Office Manager, overseeing supply inventory and ordering, procurement and maintenance of office equipment, and facilities issues.
Maintain documents, files, and records (electronic and/or hard copies) for the purpose of providing up-to-date information and/or historical reference.
Other duties as assigned.
Comply with all safety policies, report suspected safety concerns, make recommendations for enhancements to the safety program, and visibly support and uphold the company s strong safety culture.
Remain current in all company required safety training and certifications.

Education, Experience, and Licensing/Certifications:
Degree in Business Administration or related field.
Minimum of 8 years of administrative experience, including a minimum of 5 years supporting senior level executives.
An equivalent combination of education and experience will be considered.
Experience working for a construction general contractor is preferred.
Knowledge, Skills and Abilities Required:
Ability to exercise initiative and to work well with discretion and sound independent judgment with minimal supervision, as well as in a team environment.
Effective communication skills (written and verbal) and presentation skills.
High level of maturity and judgment; ability to be discreet and maintain confidentiality of information.
