POSITION SUMMARY
M-F 8:30 -4 PM $25.00 hr,
The Office Manager will manage the calendar of our President as well as monitor their email inbox. This role will perform administrative duties such as making phone calls, organizing meetings, editing, or writing emails, keeping accurate records, and other tasks as needed. In addition to the day-to-day administration of our President's schedule, there may be times when the Office Manager will assist with personal matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
· Manage all coordination for the President, such as: scheduling meetings, preparing meeting materials, responding to emails, taking phone calls, etc.
· Produce reports, conduct research, and prepare spreadsheets for the President
· Prioritize inquires and requests while troubleshooting conflicts, and recommendations to ensure smooth day-to-day operations
· Manage sensitive matters with a high level of confidentiality and discretion
· Maintain database of client leads and completed installations
· Support sales team by scheduling appointments, responding to emails and distribution of quotes
· Maintain and carry out an efficient documentation and filing system
· Organize supply cabinets, manage and restock inventory
· Assist President with project installation schedule
· Manage travel accommodations for installation crew as needed
· Welcome and assist visitors and clients upon arrival to office/showroom
· Perform other duties as assigned
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
· Time management and ability to meet deadlines
· Experience in developing internal processes and filing systems
· Proficient in Microsoft Office programs such as Word, Excel, PowerPoint
· Knowledge of ACT! Database a plus
· Experience in an administrative role
PHYSICAL DEMANDS AND WORK ENVIRONMENT
While performing the duties of the job, the employee is regularly required to be seated for extended periods of time. Ability to communicate effectively with clients and coworkers in person, on the telephone and via email. The employee is required to maneuver about the work areas and manipulate various objects. There are times when the Office Manager is the sole person in the office.
