Field Invoicing and Auditing Clerk

75% Travel at a moments notice, could be anywhere. Carolinas, Georgia Florida, anywhere we are National. all Travel expenses are covered, per diem. Traveling to disaster sites to create billing and estimates from the field. If not busy, it would be a report to the office position in Suwanee.

 

Field Invoicing and Auditing Clerk

Position: Full-time, salary

Location: Suwanee, GA (on-site)

Travel: Yes (as needed) 75%

Compensation: $68,000.00

A Field Invoicing and Auditing Clerk plays a key role for our operations division in ensuring accurate financial documentation, billing, and contract compliance. Often within our industry where field operations generate invoices, a Field Invoicing and Auditing Clerk is on-site and works closely with the project management team and reports to the Director of Operations.

Here's a detailed breakdown of the roles and responsibilities:

1. Invoicing Responsibilities

· Prepare and Issue Invoices: Generate invoices based on field provided documents, third-party invoices, and field purchase receipts.

· Verify Billing Information: Check customer details, contract terms, and rate sheet pricing before issuing invoices.

· Coordinate with Field Staff: Confirm services rendered, materials used, and hours worked to ensure accurate billing.

· Track Payment Status: Monitor outstanding invoices and follow up with clients or the accounts receivable team.

· Adjust or Correct Invoices: Handle discrepancies, apply credits, or issue corrected invoices when necessary.

2. Auditing Responsibilities

· Review Field Records: Audit field reports such as the timesheets, materials usage forms, and service logs for completeness and accuracy.

· Correspondence: Ensure and validate invoice reviews by insurance carrier’s building consultants with additional information or documentation requests. Prepare and provide to the Project Coordinator and Director of Operations for approvals.

· Detect Errors: Identify inconsistencies, overbilling, or missing documentation and report them to project management.

· Prepare Audit Reports: Document findings and provide recommendations for corrective action.

3. Data Management and Reporting

· Maintain Records: Keep organized project records of invoices, audits, and any correspondence.

· Generate Reports: Produce financial summaries, billing trends, or audit reports for project management review.

· Update Databases: Enter field data, billing information, and corrections as needed with invoicing systems.

4. Communication and Coordination

· Liaise Between Teams: Act as a bridge between field staff and finance department.

· Resolve Discrepancies: Work with field teams and project management to clarify any invoicing or billing issues.

· Support Internal Teams: Provide financial information for budget planning, forecasting, or project evaluation.

5. Administrative Duties

· Document Filing: Organize and archive invoices, audits, and supporting documentation.

· Assist in Policy Development: Suggest improvements for billing and auditing procedures.

· Training and Guidance: Sometimes guide field staff in proper documentation and record-keeping practices.
