Job Description

Job Title: Office Manager $21-25

Summary: Plays a vital role in ensuring the smooth operation of the office environment. They provide administrative assistance, handle office tasks, and support various departments as needed to facilitate efficient workflow and productivity.

Responsibilities:

  1. Special Projects and Other Duties:

    • Assist with special projects, events, and initiatives as assigned by management.

    • Perform other administrative tasks and duties as required to support the office and its operations.

    • Facilities maintenance when needed. Example window washers, plumbers, pressure washing the building, etc.

  2. Administrative Assistance:

    • Schedule appointments, meetings, and conference rooms as requested.

    • Set up and ensure conference room is ready for current and potential clients for tours and/or meetings.

    • Maintain office supplies inventory and place orders when necessary.

    • Email and phone etiquette skills are a must.

    • Proof reading, spelling and punctuation skills are a must.

  3. Document Management:

    • Organize and maintain physical and electronic files, ensuring accuracy and accessibility.

    • Assist with document creation, formatting, editing, and distribution as needed.

  4. Reception and Customer Service:

    • Welcome visitors, clients, and employees with a professional and friendly demeanor.

    • Provide assistance and information to visitors and handle inquiries courteously and efficiently.

  5. Office Operations Support:

    • Coordinate office equipment maintenance and repairs as needed.

    • Troubleshoot basic technical issues with office equipment and software.

  6. Data Entry and Record Keeping:

    • Input data accurately into databases, spreadsheets, and other systems.

    • Maintain accurate records and update databases regularly.

Qualifications:

  • High school diploma or equivalent; additional certification or training in office administration is a plus.

  • Proven experience in an administrative or office support role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • SAP experience is a plus.

  • Strong organizational skills with attention to detail and accuracy.

  • Excellent communication and interpersonal skills.

  • Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.

  • Professionalism, reliability, and discretion in handling sensitive information.

  • Flexibility and adaptability to changing priorities and responsibilities.
